Run your first academy day

Set up a small group, schedule a session and find the work that needs your review.

Start with one real group#

Account creation asked what you offer and who you coach. Kelab uses those answers to pick your starting operating model and vocabulary (for example youth sports, swimming or dance) and to set up a market, plan and workspace to match; you can still change the operating model in Academy settings later.

Use a small, familiar group for your first day. Have a roster, an instructor, a venue and the academy's local session time ready. Do not move every historical record before you have checked the basic workflow.

  1. Sign in and select the correct academy at the top of the workspace.
  2. Open Academy and check the academy name, operating model and time zone. The operating model changes labels such as player, swimmer or learner.
  3. In People, add the participants and the instructor. Review guardian relationships separately; a matching surname is not proof of a relationship.
  4. Create the group or squad and assign its participants and coach.

Put the session on the calendar#

A session connects a group to a time, location and staff. Your academy's time zone determines how the time is stored and displayed.

  1. Open Schedule and choose New session (the label follows your activity type).
  2. Enter the title, group, date, start and end times, venue and assigned coaches. Designate a lead where needed.
  3. Create the session and reopen it from the schedule. Check the time and roster before sharing it with families.

Complete the daily loop#

Open Attendance for the session, record each participant's mark, save and submit the sheet. An authorised reviewer signs it off under your academy's governance rules. Return to Daybook to find outstanding reviews and upcoming work.

You have completed the tutorial when the intended group has one scheduled session, the correct roster and a saved attendance sheet. If a tool is absent, check your membership and plan; choosing a dashboard view does not grant access.

A "Set up your academy" card on the dashboard tracks the rest of first-time setup for owners and operations administrators: adding a venue, creating a squad, adding players, inviting staff, enrolling multi-factor authentication and, once relevant, verifying a payment method. It links straight to each unfinished step, can be dismissed, and disappears once everything on it is done.
