How-to guide
Record care, arrival and authorised pickup
Check current permissions and leave a clear release record.
For Staff with explicit care permissions
Before you start Pro or Club; care access is granted separately and is not implied by being a coach.
Prepare before arrival#
Open Activities → Care & pickup. Confirm the participant, care session and current pickup permissions. Guardian access and pickup authority serve different purposes: a family relationship alone is not permission to release a child.
- Review the authorised people and any current restrictions.
- Record arrival against the right participant and session.
- At pickup, check the collecting person using your centre's approved identity procedure.
- Record the release only after verifying the current authorisation. Add the evidence or reason required by your policy.
Resolve an exception#
An old release does not prove today's authority. If a person is missing, authority has expired or information conflicts, keep the participant under your normal supervision and contact the authorised manager. Never change permissions just to make the release action succeed.
Release history retains the authorisation evidence used at the time. Correct mistakes through the supported record workflow; do not treat a later permission change as a rewrite of history. Kelab supports record keeping, not emergency response or safeguarding judgement.
