# Prepare a swim meet and publish results

Move from declarations to reviewed entries and versioned results.

Type: How-to guide

For: Authorised swimming-school staff and participating families

Before you start: Pro or Club; swimming operating model and relevant meet permissions.

## Prepare the entry

Open Activities → Swim meets. Create the meet and its events, deadlines and eligibility. Families use the permitted declaration workflow to indicate participation.

1. Review declarations and suggested individual entries.
2. Check event eligibility and any relay composition.
3. Confirm the entries and create an export snapshot for the external organiser.
4. Keep the exported revision so you know exactly what was sent.

## Bring results back

Stage the results file first. Review unmatched swimmers, event mappings and validation problems before committing the import. Resolve exceptions deliberately rather than silently assigning a similar name.

Publish the reviewed result version for families. A later correction creates another publication; check which version is current. Kelab does not run timing equipment, allocate official heats or lanes, or certify federation results. The organiser remains the authority for those decisions.
