# Follow your first invoice to payment

Preview a fee run, issue an academy invoice and review the payment record.

## Prepare a small invoice run

Start with a single period and a known participant or group. Academy fees are what your organisation collects from members. They are separate from the Kelab subscription.

1. Open Money and review Fees. Confirm the fee plan, currency, period and any player overrides.
2. Preview the invoice run. Compare the participants and totals with your expected fee list.
3. Generate or issue invoices only after the preview is correct. Use a manual invoice for a valid one-off charge.

## Review a payment

A bank slip is evidence submitted for review; it does not by itself prove money arrived.

1. Open Payments or the relevant invoice and inspect its outstanding amount and payment history.
2. For a manual transfer, check the reference, amount and evidence against the academy's bank record.
3. Verify or reject the evidence with the appropriate reason and review authority.
4. Reopen the invoice and confirm its resulting status and remaining balance.

## Close the loop

You have finished when the invoice and its accepted payment tell the same story. If a provider payment is still pending, wait for confirmed status instead of recording another payment. Keep processing fees, refunds and member invoices distinct.

Use Reports for a wider reconciliation. Do not treat a paid invoice as proof that the academy's bank settlement or Kelab subscription payment has completed.
